What Information Is Needed for an Accurate Deep Well Pump Quotation?

τελευταία εταιρικά νέα σχετικά με What Information Is Needed for an Accurate Deep Well Pump Quotation?

When a buyer asks for “a 100 m³/h deep well pump,” a supplier still does not have enough information to select a model or give a reliable price. Even adding a required head does not completely define the pump.

Two projects can require the same flow and head but need different pump diameters, materials, motors, cables, controls and accessories. Those differences affect price, delivery time and whether the equipment will work after installation.

A useful quotation should therefore be more than a number. It should be based on the real duty, installation and supply scope, so the buyer can compare proposals on the same basis.

Flow and Head Define the Starting Point

The supplier first needs the required flow and total dynamic head at the same operating point. Maximum flow and maximum head cannot be taken separately from a catalogue and combined.

Flow should come from the actual demand: irrigation zones, tank-filling time, municipal consumption, industrial process use or another measurable requirement. Head should include the vertical lift from the pumping water level, discharge elevation, pipeline losses and pressure required at the delivery point.

If the buyer only knows well depth, the supplier cannot calculate the correct head. A 200-metre well does not necessarily require a 200-metre-head pump because the water may stand far above the bottom. Conversely, a shallower well may require considerable outlet pressure and pipeline head loss.

For a detailed calculation method, see Deep Well Pump Sizing Guide: How to Calculate Flow Rate and Total Dynamic Head.

Well Information Confirms Whether the Pump Will Fit

The supplier needs the actual internal diameter of the narrowest section of the casing, not only the nominal well size. Couplings, liners, deposits, deformation and internal welds can reduce the available clearance.

Also provide the total well depth, static water level, stabilized pumping water level, sustainable well yield and planned pump installation depth. These details help the supplier check pump diameter, submergence, motor cooling and distance from the well bottom.

The pumping water level is especially important. It shows how far the water falls while the well is producing the required flow. Without it, the quotation may be based on an optimistic head calculation or a pumping rate the well cannot sustain.

If a pumping-test report is available, send it with the inquiry. A short report can be more useful than several rounds of email clarification.

Water Quality Determines More Than the Pump Material

“Clean water” is not a complete description. Groundwater may contain sand, chloride, dissolved minerals, gases or chemicals that affect the pump, motor, cable, seals and fasteners.

Useful information includes water temperature, pH, chloride content, salinity, sand content and any available laboratory analysis. Also explain whether the source is freshwater, brackish water, seawater, geothermal water or industrial process water.

SLAPK catalogues include pump configurations in cast iron and several stainless-steel or corrosion-resistant materials, depending on the series. This does not mean every material is suitable for every liquid or available for every model. The wetted materials should be reviewed against the actual water analysis before the quotation is finalized.

Choosing the cheapest material without checking the liquid can lead to corrosion and early replacement. Choosing the highest alloy grade without evidence can add cost without solving the real application problem.

For a general comparison, see 304 vs 316 vs 316L Stainless Steel for Deep Well Pumps. Final selection should still be confirmed for the specific project.

Power-Supply Details Change the Motor and Control Panel

Always state the site voltage, frequency, phase and available transformer or generator capacity. Do not assume that a supplier will automatically quote the correct local electrical configuration.

The starting method also matters. Direct-on-line, star-delta, soft-starter and VFD systems place different requirements on the motor connection, cable and control panel. If a VFD will be used, provide the expected speed range and the drive model when known.

Cable length should include the downhole section and the route from the wellhead to the control panel. A deep installation or long surface route may require a larger conductor to control voltage drop. The cable type, underwater splice and control-panel protection can materially change the quotation.

Define What the Quotation Must Include

Buyers often compare two prices that do not cover the same equipment. One quotation may include only the pump and motor, while another includes cable, control panel, check valve, sensors, spare parts and export packing.

State clearly whether the requested supply includes:

  • Pump and submersible motor

  • Required length of submersible cable

  • Control panel, soft starter or VFD

  • Dry-run and level-control devices

  • Check valves and discharge connection

  • Riser pipe or column-pipe accessories

  • Cable clamps, guards and splice materials

  • Wellhead plate or lifting accessories

  • Commissioning spares and recommended service parts

Connection standards also need attention. Specify the required outlet thread or flange standard, pipe size and any site interface that must match existing equipment. A nominal diameter alone may not define the connection.

Operating Duty Affects the Selection

Tell the supplier how the pump will operate: continuous service, tank filling, seasonal irrigation, emergency drainage or intermittent process duty. Include expected hours per day, starts per hour, demand variation and whether another pump will operate in parallel.

These details influence motor loading, control philosophy, storage requirements and the recommended operating range. A pump selected for one stable duty may not be the best choice for a system that frequently changes flow.

If the project has a critical shutdown cost, say so. The supplier can then discuss standby capacity, spare parts or a duty-and-standby arrangement instead of quoting only the lowest initial price.

Commercial Details Prevent Later Revisions

For a complete commercial quotation, provide the required quantity, destination country or port, preferred trade term and requested delivery date. Mention any limits on package size, lifting method or inland transport.

Documentation requirements should be stated before the order. Examples may include a performance curve, dimensional drawing, wiring diagram, material documents, inspection records or third-party testing. Availability depends on the product and order, so required documents should be agreed rather than assumed.

If the project requires a particular certification, test standard or inspection agency, identify it in the inquiry. This allows the supplier to confirm feasibility, cost and lead time before issuing the final offer.

What a Good Pump Proposal Should Show

A technically useful proposal should identify the selected model, rated duty point, motor rating, voltage, frequency, main materials, outlet connection and overall dimensions. It should also define the included cable, control equipment and accessories.

Ask for the performance data at the proposed operating point rather than accepting a catalogue maximum. The supplier should state any information still awaiting confirmation and any assumptions used in the selection.

This makes quotations easier to compare. A lower price may reflect a different material, shorter cable, smaller control scope or an unconfirmed duty rather than a genuine saving.

A Practical Inquiry Checklist

Before sending the request, collect:

  • Required flow and total dynamic head

  • Well depth and minimum casing internal diameter

  • Static and pumping water levels

  • Sustainable well yield and pump setting depth

  • Pipe length, internal diameter, fittings and outlet pressure

  • Water temperature, pH, chloride and sand information

  • Voltage, frequency, phase and starting method

  • Complete cable length

  • Daily operating hours and starting frequency

  • Required material, connection and accessories

  • Quantity, destination, delivery schedule and documents

If some data is unavailable, identify it honestly instead of estimating. The supplier can explain which measurements are essential before final selection and which details can be confirmed later.

Conclusion

An accurate deep well pump quotation begins with a clear description of the project, not a model number copied from another installation. Flow and head establish the duty point, while well dimensions, water quality, electrical supply and operating method determine the correct configuration.

Defining the complete supply scope also prevents misleading price comparisons and costly changes after an order is placed.

Send SLAPK your available project data, drawings and water analysis. Our engineers can review the missing information, mark the proposed operating point and prepare a technical and commercial offer based on the actual installation.
